   Key points in writing an effective cover letter
 
  1. Start with a date at left-hand top corner.

  2. Do not use "To whom it may concern"; instead write the recruiter's address one line below the date to customise each letter.

  3. Target the greeting if possible with the person's name e.g. Dear Mr. Adam. If not available, use job titles such as Dear Crewing Officer, Dear HR Manager or simply Dear Sir/Madam.

  4. In the first paragraph, mention where you have heard about the position and state your objective.

  5. When writing your objective, use the following guidelines:

    1. Be as precise as possible and not more than one sentence

    2. Be specific when naming your desired position

    3. For examples,

      1. A ship technical manager position in a global shipping company with operations in East Asia.

      2. A chief officer position in a North American shipping company.

      3. To build a career in the shipbroking field.

  6. In the second paragraph, give details of your experience and qualifications that are specifically related to the job opening; explain how you can contribute to the company and why you are most suitable for the job.

  7. In the final paragraph, ask for an interview and mention that you are looking forward to hearing from them soon.

  8. End with complimentary closing such as Sincerely, or Yours sincerely, followed by your signature and name.

  9. Where resumé is included as a separate enclosure, write the word Enclosure two lines below your name.

  10. A personalised cover letter is expected for each resumé sent by mail or fax.

  11. Regarding the length of letter, keep it within a sheet of A-4 sized paper.

  12. For sending resumé by e-mail, a long cover letter is not required. Use a short paragragh covering where you have heard about the job opening and summarise your qualifications and experience specific to the position in a few sentences.
